Privacy notice
What we collect, why, who sees it, how long we keep it, and your rights. In plain English.
Last updated: 31 October 2026
The short version
- We only collect what we need to reply to you and deliver training.
- We do not use cookies, analytics, tracking or advertising tools on igoe.ai.
- We never sell your information, and we do not add you to a mailing list.
- You can ask to see, correct or delete your information at any time by emailing josh@igoe.ai.
1. Who we are and how to contact us
IGOE AI LTD ("IGOE AI", "we", "us") is the controller of the personal information described in this notice. That means we decide how and why it is used.
- Company: IGOE AI LTD, registered in England and Wales, company number 14264809
- Registered office: 71-75 Shelton Street, Covent Garden, London WC2H 9JQ
- Email: josh@igoe.ai
We are a small company, so we do not need to appoint a Data Protection Officer. Josh Igoe, our director, looks after data protection and reads every privacy message personally.
2. What we collect, why, and our lawful basis
Data protection law says we must have a lawful basis for using your information. Here is each thing we collect, what we use it for and the basis we rely on.
| When | What we collect | Why we use it | Lawful basis |
|---|---|---|---|
| You use the enquiry form on our contact page | Your name, work email and organisation. Optional details you choose to give: the type of enquiry, course, number of learners, preferred format and your message. The form also records which page on igoe.ai you came from. | To reply to your enquiry, suggest the right course and, if you ask, prepare a quote or proposal | Legitimate interests (replying to business enquiries), and taking steps you ask for before a contract |
| You email us | Your name, email address and whatever you choose to include | To reply and keep a record of our conversation | Legitimate interests (running our business and replying to people who contact us) |
| Your organisation books training with us | Learner names and work emails, attendance, course feedback, and the booking contact's details | To deliver the course, give learners access to official Microsoft course materials and evaluations, and keep training records | Contract with you or your employer, and legitimate interests (delivering the training your employer booked) |
| We invoice for training | Billing contact name, work email, organisation and invoice records | To invoice, take payment and keep business records | Contract, and legal obligation (UK tax and company record keeping) |
| You visit igoe.ai | Standard server logs: your IP address, browser type, the page requested and the time | To run the website, fix problems and keep it secure | Legitimate interests (a working, secure website) |
| You send the enquiry form | A scrambled (hashed) version of your IP address and a count of recent submissions. Never your message. | To stop spam and abuse of the form | Legitimate interests (protecting the form from spam) |
Where we rely on legitimate interests, we have checked that our use is something you would reasonably expect and does not override your rights. You can ask us for more detail at any time.
The form also has a hidden anti-spam field that should stay empty. We do not use it to identify you. Please do not send us sensitive information, such as health details. If you tell us about access needs so we can adjust a session, we use that only to make the adjustment.
3. Do you have to give us your information?
No law or contract requires you to give us your information when you make an enquiry. We do need your name, work email and organisation to reply to a form enquiry, so the form will not send without them. Everything else on the form is optional. If your organisation books a course, we need learner names and work emails to set up and deliver the training.
4. Who we share it with
We never sell your information or share it for anyone else's marketing. We use a small number of trusted providers to run our business. They only use your information to provide their service to us.
- Hostinger hosts igoe.ai, keeps the server logs and sends form enquiries to our inbox. Hostinger may use its own email relay providers to deliver those messages.
- Microsoft provides our email and business software (Microsoft 365), where your messages and enquiries are stored.
- Microsoft and its training delivery partners, for learners on official Microsoft courses, so learners can access course materials and complete course evaluations.
- Our accountant and HMRC, for invoice and business records, where the law requires it.
We may also share information if the law requires it, for example to respond to a court order.
5. Transfers outside the UK
Some of our providers process information outside the UK. Hostinger is based in the European Union, which the UK recognises as giving an adequate level of protection. Microsoft and Hostinger's email relay providers may process some information in the United States or other countries. When that happens, it is protected by the UK's adequacy regulations (including the UK-US data bridge for certified US companies) or by the UK's approved contract clauses. You can ask us for a copy of the relevant safeguards by emailing josh@igoe.ai.
6. How long we keep it
| Information | How long we keep it |
|---|---|
| Enquiries and emails that do not lead to work | Up to 2 years after our last contact, then deleted |
| Client, booking, learner and training records | While we work together, then 6 years |
| Invoices and payment records | 6 years from the end of the financial year they relate to, because UK tax rules require it |
| Server logs | A short period set by Hostinger's systems. We do not copy or keep them. |
| Hashed IP address used to stop form spam | About a day. Old entries are deleted automatically. |
7. How we keep it safe
Only Josh can access enquiries and client records. We use secure, encrypted connections (HTTPS) on igoe.ai, multi-factor sign-in on our accounts, and the security features built into Microsoft 365.
8. Your rights
Under UK data protection law you have the right to:
- Access: ask for a copy of the information we hold about you
- Correction: ask us to fix anything that is wrong or incomplete
- Deletion: ask us to delete your information
- Restriction: ask us to pause using your information, for example while we check a complaint
- Portability: ask for information you gave us in a format you can reuse, where we use it under a contract or with your consent
Your right to object. Where we use your information because of our legitimate interests, you can object at any time. We will stop unless we have a strong reason to continue that outweighs your interests. If we ever send you marketing, you can object to that and we will always stop.
Withdrawing consent. We do not rely on consent for the enquiry form, emails or server logs. If we ever ask for your consent for something, you can withdraw it at any time, just as easily as you gave it, by emailing josh@igoe.ai. This does not affect anything we did before you withdrew it.
To use any of these rights, email josh@igoe.ai. There is normally no fee. We will reply within one month, and we may need to check your identity first.
9. Automated decisions
We do not make decisions about you using only automated processing, and we do not profile you. A person (Josh) reads and replies to every enquiry.
10. Cookies
igoe.ai does not set any cookies of its own and does not use analytics, advertising or social media tracking. We do not load third-party fonts or scripts. If you follow a link to another website, such as LinkedIn, YouTube, Substack, X or Microsoft Learn, that site has its own privacy and cookie policies. Our Substack newsletter is run on Substack, and Substack's privacy policy applies when you subscribe there.
11. Complaints
If you are unhappy with how we have used your information, please tell us first at josh@igoe.ai so we can put it right. We will acknowledge your complaint within 30 days and look into it without delay.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:
- Website: ico.org.uk/make-a-complaint
- Helpline: 0303 123 1113
- Post: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF
12. Changes to this notice
We will update this notice when the way we use personal information changes. The date at the top shows when it was last updated.
