Most weak Microsoft Copilot answers come from weak requests, not a weak tool. The fix is not clever wording. It is giving Microsoft Copilot the same information you would give a capable new colleague.
Microsoft's own guidance breaks a prompt into four parts. Only the first is required. The other three are what turn a generic answer into a useful one.
1. The four parts
- Goal: what do you want? "Draft a reply", "summarise", "compare", "turn into a table".
- Context: why do you need it and who is it for? "For a client who is unhappy about a delay."
- Source: what should Microsoft Copilot use? "Use the email from Priya and the attached project plan."
- Expectations: how should the answer look? "Under 150 words, plain English, no jargon, bullet points."
2. Before and after
Weak:
Write an email about the delay.Better:
Draft a reply to Priya's email about the delayed report (goal). She is a long-standing client and is frustrated; we need to keep the relationship strong (context). Use her email and the revised timeline in Project Plan v3.docx (source). Keep it under 150 words, warm but professional, with the new date in the first paragraph and no excuses (expectations). The second version takes 30 seconds longer to write and usually saves several rounds of edits.
3. Five habits that help
- Ask neutral questions. "Compare option A and option B" gets a fairer answer than "Option A is better, isn't it?"
- Say what you want, not only what you don't. "Use short sentences" works better than "don't be wordy".
- Point to the right source. Name the file, the person or the date range. Do not rely on Microsoft Copilot guessing which document you mean.
- Iterate. Treat the first answer as a draft. "Shorter", "more formal", "add a table of risks" are perfectly good follow-ups.
- Start a new chat for a new task. Old context can leak into new answers.
4. A reusable template
Goal: [what you want produced]
Context: [who it is for and why]
Source: [files, emails, meetings or pasted text to use]
Expectations: [length, tone, format, anything to avoid]
Before you start, ask me up to three questions if anything important is unclear. That last line is worth keeping. It invites Microsoft Copilot to check before it guesses.
5. Save the prompts that work
When a prompt works well, save it. Microsoft Copilot Prompt Gallery lets you save prompts and share them with your team, so good prompts become team assets rather than personal tricks.
