Meetings generate decisions, actions and loose ends. Copilot in Teams helps you capture all three, as long as you set the meeting up properly.
1. Understand the meeting setting
When you schedule a Teams meeting, the meeting options include a setting called Allow Microsoft Copilot and Facilitator. The organiser controls it, even without a licence.
| Setting | What it means |
|---|---|
| During and after the meeting | Microsoft Copilot works once transcription starts, and you can ask questions after the meeting |
| Only during the meeting | Microsoft Copilot works live without a saved transcript; its notes are not available afterwards |
| Off | Microsoft Copilot is off, and recording and transcription are also turned off |
For confidential matters, decide deliberately. "Only during the meeting" lets people use Microsoft Copilot live without keeping a transcript.
2. During the meeting
Open Microsoft Copilot from the meeting controls. Your questions are private to you.
What decisions have we made so far, and what is still unresolved?Create a table of the options discussed with the pros and cons people raised. If you join more than five minutes late and Microsoft Copilot is active, Teams offers to catch you up.
3. After the meeting
Open the meeting chat or the Recap tab and ask Microsoft Copilot about what was said. A transcript must exist for questions about spoken content.
List the action items with the owner and any deadline mentioned. Flag any action that has no owner.Draft a follow-up email to attendees summarising decisions and actions. Keep it under 200 words.Long responses can be opened in Word, and tables in Excel, unless the meeting's sensitivity label or settings prevent export.
4. Facilitator
Facilitator is a Teams meeting agent that takes live AI notes, tracks the agenda and time, and answers questions in the meeting chat. Microsoft Support states it requires a Microsoft Copilot licence and works in scheduled meetings, not channel meetings or calls.
5. Chats and channels
Microsoft Copilot can also summarise a busy chat or channel conversation, which is useful after a day out of the office.
